A letter of termination refers to a situation where an employee gets fired by the employer. A situation of saying good bye had never been an easy task, but you can not fire anyone or terminate anyone, writing a direct letter is not a good idea. You need to write a diplomatic and tactful letter to break down the tie or the working relation. Your letter is an official document so the letter should be appropriate. The tone of the letter should be decisive and to the point. The aim of the letter should be clear, but it should not be drafted in a way that would harm the repute the company or put it in an awkward position.
You should address the person by name, in opening statements clearly announce the termination, addressing the name of the person, position and company’s name, mention the date from which the termination will enforce, it is important to mention these points as the letter will have a legal binding in future. If you have given any warnings in past you can refer them in the letter, the warnings either in written or verbal form.
A termination letter does not necessarily include the reason of transmission but you can point out the areas which gave rise to this decision. You may include in your letter any belongings or items that recipient has to return to the company before leaving the job, it includes any facilities provided by the company. You should also mention in letter of termination and benefits or that recipient will get from the company, clearly explain when the terminated employee can get it and how, also guide the employee how and when he can apply for the benefits. Conclude your letter by thanking the employee for the services he or she gave to the company. You can also get help from the attached sample of letter of termination along with this template.
